{"id":1168,"date":"2023-10-20T14:32:25","date_gmt":"2023-10-20T14:32:25","guid":{"rendered":"https:\/\/education.ufl.edu\/technology\/?page_id=1168"},"modified":"2023-10-20T14:32:25","modified_gmt":"2023-10-20T14:32:25","slug":"electronic-files","status":"publish","type":"page","link":"https:\/\/education.ufl.edu\/technology-1\/electronic-files\/","title":{"rendered":"Electronic Files"},"content":{"rendered":"<h3>File and Data Storage<\/h3>\n<p>To maintain the confidentiality, integrity, and accessibility of university-related data, all files related to UF business should be stored on a secured network drive or UF-approved cloud solutions.<\/p>\n<ul>\n<li>Network Drives\n<ul>\n<li>Each unit has its own department or research folder hosted in the COE or UFIT file server.<\/li>\n<li>Each Faculty or Staff is granted a Home folder, which is a private space in the File server.<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<ul>\n<li>Cloud Services (Must log in with YourGatorlinkID@ufl.edu when logging in to these services)\n<ul>\n<li><a href=\"https:\/\/cloud.it.ufl.edu\/collaboration-tools\/dropbox\/\">UF Dropbox for Education\u00a0<\/a><\/li>\n<li><a href=\"https:\/\/it.ufl.edu\/services\/gatorcloud-onedrive-uf\">UF OneDrive<\/a><\/li>\n<li><a href=\"https:\/\/cloud.it.ufl.edu\/collaboration-tools\/g-suite\/\">UF G Suite<\/a><\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p>Protecting restricted data is a shared responsibility. You are responsible for ensuring that your use of permitted services complies with laws, regulations, and policies where applicable. Please see the links below to familiarize yourself with what you can store and share using UF&#8217;s cloud services.<\/p>\n<ul>\n<li style=\"list-style-type: none\">\n<ul>\n<li><a href=\"https:\/\/irm.ufl.edu\/uf-data-guide\/it-tools-and-services\/?tool=dropbox\">UF Dropbox for Education Restricted Data Solution<\/a><\/li>\n<li><a href=\"https:\/\/irm.ufl.edu\/uf-data-guide\/it-tools-and-services\/?tool=onedrive\">UF OneDrive Restricted Data Solution<\/a><\/li>\n<li><a href=\"https:\/\/irm.ufl.edu\/uf-data-guide\/it-tools-and-services\/?tool=gdrive\">UF Google Drive Restricted Data Solution<\/a><\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<h3>Data Restoration<\/h3>\n<p>Data restoration is a critical process that aims to recover lost or compromised data in various scenarios, including hardware failures, infections, accidental deletions, or data file corruption.<\/p>\n<ul>\n<li>If the data was saved on the COE network drive for a day, it is possible that COE IT can restore the file from the network backups. Please submit a helpdesk ticket or email helpdesk@coe.ufl.edu and include the name of the file\/folder and the actual folder path\/location.<\/li>\n<li>For UF-approved cloud services, a ticket to<a href=\"https:\/\/helpdesk.ufl.edu\/\"> UFIT<\/a> may be required.<\/li>\n<\/ul>\n<p>Please note that only files saved on the network are backed up. Anything saved locally is not included in our nightly backup process. UF official business data should not be permanently stored locally on a computer.<\/p>\n<h4>Data Retention<\/h4>\n<p><a href=\"https:\/\/records.uflib.ufl.edu\/record-retention\/electronic-records\/\">Electronic records<\/a> are subject to <a href=\"https:\/\/records.uflib.ufl.edu\/record-retention\/retention-schedules\/\">UF&#8217;s Records Retention Schedule<\/a>, which dictates the duration for which something should be preserved based on the nature of the information, irrespective of its format (whether it&#8217;s in the form of paper documents, electronic files, email messages, databases, etc.).
