UF Office of Research Changes Policy Regarding the Submission of Research Proposals
The UF Office of Research has issued a policy change regarding the submission of research proposals. Please note the implication for the College of Education.
UF Office of Research: The new policy for submitting proposals to UFIRST is 9 AM one business day prior to the date of the sponsor’s deadline.
COE OER: The new policy for submitting proposals and all supporting components of a completed proposal such as subcontract proposals, cost share commitments, approved budget, etc. is 9 AM two business days* prior to the date of the sponsor’s deadline. For example, proposals due any time on a Friday will need to be fully submitted to OER/Brian Lane no later than 9 AM on the previous Wednesday.
*For efforts such as IES and NSF when the college typically has multiple proposals, OER will offer PIs a schedule for submission that may be earlier than two business days prior to the sponsor’s deadline.

On March 7, the Office of Research distributed details of a proposed policy change regarding the submission of research proposals. The proposed policy included two primary components, namely a 2-day internal deadline and a late fee for submissions that miss the deadline.
Given that this represents a significant change in the proposal submission process here at UF, the Office of Research solicited comments on the proposed policy from stakeholders across the university and have received sufficient feedback to move forward with the following modifications of the proposed policy change:
- The internal deadline will be 9 AM one business day prior to the date of the sponsor’s deadline. For example, proposals due anytime on a Friday will need to be fully submitted to DSP no later than 9 AM on the previous Thursday.
- The option for late proposal submissions to be accepted but with a mandatory late fee has been dropped from consideration.
- Absent of extenuating circumstances, proposals must be submitted on or before the internal deadline in order to be submitted by the university to the sponsor.
In April, the Office of Research will communicate complete details of the policy.
