Important Reminder: UF Policy on International Travel

When planning for international travel, COE faculty should complete their departmental approval process and follow these steps:

  1. Review the guidance on the UF Research International Travel webpage and contact the Division of Research Compliance and Global Support for assistance with export licenses or other authorizations.
  2. Register your travel with the UF International Center.
  3. Request pre-approval from UF Asset Management if you are traveling with any UF-owned equipment, including your laptop.

Important Notice: Exchange Visitor Services English Proficiency Requirements Are Changing

To better uphold the U.S. Department of State’s requirement for proving appropriate English proficiency for sponsored exchange visitors within the J-1 Program and to strengthen UF’s compliance with the federal guidelines for English proficiency, the UF International Center Exchange Visitor Services (EVS) will be instituting new options for English proficiency for scholar, professor, and student intern category DS-2019 requests.

The new options go into effect on February 17, 2020.

Current English proficiency options will be accepted until 5pm on Friday, February 14, 2020. Please note the current “Required Documents” PDF indicates the faculty confirmation letter is accepted only until 01/01/2020; this has changed to February 14, 2020. The PDF will be updated shortly.

NSF Is Changing Biographical Sketch and Current and Pending Documents

The National Science Foundation (NSF) is currently finalizing a revised Proposal and Award Policies and Procedures Guide (PAPPG) for use in 2020, and anticipates that the revised PAPPG will be released in the coming months. As is standard practice, the PAPPG will be effective 90 days after its release. This new version incorporates changes to the preparation and submission of the Biographical Sketch and Current and Pending documents using SciENcv: Science Experts Network Curriculum Vitae.

Use of the SciENcv NSF-approved format for the Biographical Sketch and Current and Pending documents will be required upon implementation of the PAPPG.

The UF Division of Sponsored Programs (DSP) strongly encourages proposers to begin using SciENcv now for preparation of the Biographical Sketch and Current and Pending documents in anticipation of the upcoming NSF requirements.

Request for Information: American Association for the Advancement of Science Meeting in February

The American Association for the Advancement of Science (AAAS) will hold its annual meeting Thursday, February 13, 2020 – Sunday, February 16, 2020, 8:00am – 8:00pm in Seattle, WA.

UF would like to know beforehand which UF faculty are attending the AAAS meeting in order to help promote their research. Department chairs or faculty can contact Dr. David Reed directly at dlreed@ufl.edu if they know of someone who is attending. Dr. Reed will be reaching out to all AAAS Fellows directly including the new inductees for this year. Thanks for any help you can offer.

Call for Proposals: Spring 2020 NAFSA Research Symposium

NAFSA: Association of International Educators is pleased to announce a call for proposals for the eighth one-day Research Symposium, A Critical Discussion of Theories, Methodologies, and Practices in International Education to be held Friday, April 24, 2020, at Northeastern University in Boston, MA.

The deadline for paper submissions is January 26, 2020. Please submit your 1-page proposal via the online form for proposal submissions.

The deadline for poster submissions is March 1, 2020. Please submit your poster presentation with a 250-300 word research summary via the online form for poster submissions.

Common Rule sIRB Mandate

The revised Common Rule went into effect on January 21 2019, except for the single IRB requirement (sIRB) which becomes effective on January 20, 2020. The single IRB requirement entails that all federally funded, nonexempt, multisite studies must use a single IRB review model. On the single IRB review model, a single IRB of record provides regulatory oversight for an entire multisite study while other engaged domestic institutions cede regulatory review to it.

NOTE: The revised Common Rule sIRB mandate is separate from the NIH single IRB policy, which went into effect in January 2018.

Reminder: Incoming Proposals through Early January 2020

The holiday season is here and we at OER want to make sure your proposal submissions for the rest of 2019 and early 2020 are on our radar. If you intend to submit a proposal due between now and early January, please let us know. We need to set up an accelerated submission deadline to account for university closure.

Moving forward, please make every effort to alert us about proposals at least one month in advance so we can plan for your support.

Please also remember the deadline policies for the submission of proposals:

  • DSP Deadline: 9 am one business day prior to the date of the sponsor’s deadline.
  • COE OER Deadline: 9 am two business days prior to DSP’s deadline.

Presidential Awards for Excellence in Science, Mathematics, and Engineering Mentoring Nominations are Open

Please consider nominating top faculty mentors for the 2019–2020 cycle of the Presidential Awards for Excellence in Science, Mathematics and Engineering Mentoring (PAESMEM). PAESMEM are the highest honors bestowed upon STEM mentors by the U.S. government.

The nomination deadline is December 15, 2019 and the application deadline is January 15, 2020.
